Currently the trap club i belong to uses quickbooks - it doesn't belong to the club. The club treasurer owns an enterprise version for his business and the club is setup as a second company. He does the day to day bookkeeping and sends paper copies over to an outside bookkeeper to check his work. As I understand it she basically manually enters the data into her copy of quickbooks, examines all transactions, and prepares monthly profit / loss statements. Outside bookkeeper is retiring at end of the year. Club treasurer may retire, but is selling his business. I'm not sure how long we get to use that copy of quickbooks. Looking at how would you set this up today. Legacy copies of quickbooks seem to cost a couple grand a year or more for the annual fees. Online quickbooks seems less (and would be way more convenient for an outside bookkeeper), but a lot of reviews say its awful and lots of hidden costs. Club is only open one day a weekend and a couple evenings during the week. There is no nice little bookkeeper office. Could go with a legacy version and a laptop, and try to make sure the treasurer and the bookkeeper get it where it needs to go, or go online and whomever needs it can just login and use it. Any recommendations or alternate software to look at? I'm on the board, but not the treasurer. I just get stuck worrying about this sort of thing. |

If the club is a non-profit, it's worth checking if Intuit has a discounted version of Quickbooks for small non-profits. It's also worth asking the club treasurer if the club's finances need Quickbooks or if he's just using it because it's familiar and he already pays for it. Finally, if the club treasurer and outside bookkeeper are both retiring, maybe see what their replacements suggest. |

One of the candidates for the bookkeeper job suggested either club buys laptop w/ quickbooks, or look at on line quickbooks (but everyone she has talked to about online quickbooks hates it - but it is the direction intuit is going) Edit: looks like there is discounted online quickbooks for some non-profits via TechSoup |

Wave Accounting (free) It'll produce a profit & loss statement and balance sheet good enough to hand to whoever preps your 990-N/990-EZ. GnuCash (free) Real double-entry books but there will be a learning curve. It might be more than most volunteer treasurers want to deal with for a one-day-a-week club. |
