I don't think that we should reject anyone who wishes to attend. I *do* think that plenty of "talk time" be reserved so that we can meet each other. A few guest speakers on various topics would be cool (30 min each).
Most of these have a hotel that will host them, and give deals on reservations at that hotel. However, attendees are free to stay elsewhere if they choose, and make their own arrangements.
A Saturday night BBQ would be cool, after the shooting is done and people want to talk. For most meals, though, I'd let people eat at the hotel, or otherwise fend for themselves. That shouldn't be an issue. The "shooting location" should have some kind of food for sale for those who don't want to bring anything. Burgers, hot dogs, and sodas, or whatever.
I don't think that we need to go too far overboard. Probably a nominal fee that must be paid at least 60 days in advance that will cover any range/shooting entrance fees, the BBQ, and any other minor expenses. Folks should be able to make flight/hotel arrangments either themselves or through a common travel agent for a discount.
After checking rates at a few places, Vegas is the best bet. All of those PRK gambling dollars make most of the fixed costs much cheaper than anywhere else.
